1 Acceptance of Terms

These Terms of Service ("Terms") govern your access to and use of the RecruitVector platform ("we", "us", or "our"). By accessing the platform, creating an account, or participating in any screening or coaching session facilitated through our service, you agree to be bound by these Terms.

If you do not agree to these Terms, do not use the platform. If you are accessing the platform on behalf of an organisation, you represent that you have authority to bind that organisation to these Terms.

2 Description of Service

RecruitVector is an AI-powered recruitment platform that provides the following services to recruitment agencies and their clients:

• AI phone and browser screening — automated voice interview sessions that assess candidates against job requirements and produce structured assessments for recruiter review.
• AI video screening — avatar-based video interview sessions powered by AI.
• Semantic candidate search — vector-based search across a talent pool enabling recruiters to identify best-matched candidates using natural language queries.
• AI Interview Coaching — personalised mock interview sessions delivered via browser, providing real-time AI coaching feedback to candidates preparing for specific roles.
• ATS integrations — connections to Applicant Tracking Systems to import application data and write assessment results back as notes.
• Recruiter tools — AI advisor, candidate management, and reporting capabilities accessible via the platform dashboard.

We reserve the right to modify, suspend, or discontinue any feature of the service at any time, with or without notice.

3 Eligibility and Accounts

Access to the recruiter-facing dashboard is restricted to authorised consultants and staff of registered recruitment agencies. To access the platform:

• You must be at least 18 years of age.
• You must be employed by or acting on behalf of an organisation that has a valid agreement with RecruitVector.
• You are responsible for maintaining the confidentiality of your login credentials and for all activities that occur under your account.

Candidate-facing sessions (phone screening, browser screening, coaching) do not require account creation but are accessed via time-limited secure links or phone calls initiated by authorised recruiters.

4 Permitted Use

You may use RecruitVector only for lawful recruitment and talent management purposes. You agree not to:

• Use the platform to screen candidates for roles or organisations for which you are not authorised to act.
• Misrepresent your identity or affiliation when accessing the platform or communicating with candidates.
• Attempt to access, scrape, reverse-engineer, or extract data from the platform beyond what is provided through the normal user interface or authorised API.
• Use AI-generated assessments as the sole basis for employment decisions, without human review and consideration of applicable employment laws.
• Transmit unlawful, defamatory, or discriminatory content through the platform.
• Interfere with the security, integrity, or availability of the platform or its underlying systems.
• Use the platform in any manner that violates applicable employment, privacy, or equal opportunity legislation in your jurisdiction.

5 Candidate Participation

Candidates who participate in AI screening or coaching sessions facilitated by RecruitVector do so at the request of a recruitment agency or employer. By participating in a session, candidates acknowledge:

• That the session will be conducted by an AI system, not a human interviewer, unless explicitly stated otherwise.
• That the session may be recorded and transcribed, and that the transcript will be used to generate a candidate assessment accessible to the recruiting agency.
• That AI-generated assessments are advisory tools used by recruiters to assist, not replace human hiring judgement.
• That they have the right to request that a human review any AI assessment that influences a decision about their application, by contacting the recruiting agency or RecruitVector.

6 AI-Generated Content

RecruitVector's platform uses large language models and AI systems to generate assessments, summaries, coaching feedback, interview questions, and other content. You acknowledge and agree that:

• AI-generated content may contain errors, omissions, or inaccuracies. It should not be relied upon as the sole basis for employment decisions.
• AI outputs do not constitute professional legal, HR, or compliance advice.
• You are responsible for applying appropriate human judgement when using AI-generated assessments and for ensuring that your use of such assessments complies with applicable employment and anti-discrimination laws.
• We do not guarantee that AI assessments will be free from bias. You are encouraged to review assessments critically and in the context of all available information about a candidate.

7 Intellectual Property

All software, algorithms, models, user interfaces, and platform technology underlying RecruitVector are owned by or licensed to us. These Terms do not grant you any ownership interest in the platform.

You retain ownership of the content you submit to the platform (CVs, job descriptions, etc.). By submitting content, you grant us a non-exclusive, worldwide licence to process that content for the purposes of delivering the services described in these Terms and our Privacy Policy.

AI-generated outputs (assessments, coaching feedback, interview questions) produced using your data are provided to you for your use in connection with the service. We do not claim ownership of these outputs.

8 Third-Party Integrations

RecruitVector integrates with third-party services including Retell AI, Google, xAI, OpenAI, Twilio, Pinecone, and ElevenLabs. Your use of these integrations is also subject to the terms and policies of the respective third-party providers.

When you connect a third-party service (such as an ATS) to RecruitVector via OAuth or API key, you authorise us to access and process data from that service as required to deliver the integration functionality. You are responsible for ensuring you have the appropriate rights and consents to make this data available to us.

We are not responsible for the availability, accuracy, or conduct of third-party services, and we do not assume liability for any loss arising from your use of or reliance on such services.

9 Limitation of Liability

To the maximum extent permitted by applicable law, RecruitVector and its officers, employees, and agents shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of or inability to use the service, including but not limited to:

• Loss of revenue, profit, data, or goodwill.
• Errors or inaccuracies in AI-generated assessments or recommendations.
• Employment decisions made based on platform outputs.
• Disruption or unavailability of the service or any third-party integration.
• Unauthorised access to or alteration of your data by a third party.

Our total liability to you for any claim arising from these Terms or your use of the service shall not exceed the fees paid by you (or on your behalf) to us in the 12 months preceding the event giving rise to the claim, or AUD $500, whichever is greater.

Nothing in these Terms limits or excludes any liability that cannot be excluded under applicable law, including liability for death or personal injury caused by negligence, or liability under consumer protection legislation.

10 Indemnification

You agree to indemnify, defend, and hold harmless Recruit Vector and its affiliates, officers, employees, and agents from any claims, liabilities, losses, damages, and expenses (including reasonable legal fees) arising from:

• Your use of the platform in violation of these Terms.
• Your violation of any applicable law or the rights of a third party, including employment or privacy laws.
• Any employment decision made by you or your organisation based on platform outputs.

11 Termination

We may suspend or terminate your access to the platform at any time, with or without cause, and with or without notice, if we reasonably believe you have violated these Terms or applicable law, or if the service is discontinued.

You may cease using the platform at any time. If you wish to close your account or request deletion of your data, contact us at the address below.

Upon termination, your right to access the platform ceases immediately. Provisions of these Terms that by their nature should survive termination (including Sections 6, 7, 9, and 10) shall survive.

12 Governing Law

These Terms are governed by the laws of New South Wales, Australia, without regard to conflict of law principles. You agree to submit to the exclusive jurisdiction of the courts of New South Wales for any dispute arising from these Terms or your use of the service.

If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions will continue in full force and effect.

13 Changes to These Terms

We may update these Terms from time to time. When we make material changes, we will update the "Last updated" date at the top of this page. Your continued use of the platform after changes are posted constitutes your acceptance of the revised Terms.

If you disagree with the updated Terms, you should stop using the platform and contact us to close your account.
